We specialize in both unique types of projects. FILE-X typically completes 5 to 10 backfile conversions per month. Your document set will be reviewed by our project management and production teams and a customized solution will be created. Backfile projects range from several thousand to several million images. Often a pilot project is designed to ensure images and data meet your software specifications. We offer both onsite and offsite scanning of your documents. Our state-of-the art facility can process 250,000 images a day. We also offer the option of setting up shop at your facility. We will supply all of the equipment and personnel needed to complete the project in a timely manner. File-x also now has the “Scan-Van” which securely scans documents in your parking lot.

Once records are received at our secure facility, our team will carefully inventory your information and create a detailed tracking manifest of all of the information that we’ve received.
Preparing documents for scanning is often the most time-consuming and tedious part of the process. Our experts will remove all staples and fasteners, repair any ripped or torn pages, and carefully identify different sections of a document.
Our document-scanning service center is equipped with leading-edge equipment. We continually invest in technology and process-development to ensure that we are leaders in the industry. Scanning is typically completed at 200 or 300 DPI and can be in B&W or color. All size paper from 2 inches to 42 inches can be scanned.
When scanning documents, quality control is essential. We review every image to ensure readability and quality. Each image is carefully analyzed to ensure that nothing is missed during the scanning process.
All required data will be captured from the scanned images through a double-data-entry process. If your documents are to be uploaded into an EMR, ECM, etc, we’ll work with your software vendor to ensure a successful upload. We have successfully uploaded images and corresponding data to more than 50 different systems. We also often create named PDF documents in a customized file-folder architecture for clients who wish to keep their scanning project simple. This same file-folder structure can be uploaded to our secure cloud for viewing and retrieval.
Your data and images will be delivered via the media you choose. Common choices for smaller projects are Cloud, disk or thumbdrive. Larger projects may be delivered via external hard drive or secure Cloud drive.
Following completion of the imaging process, your original documents are returned, stored or securely shredded
FILE-X converts microfilm, microfiche, bound books, wide-format maps, slides, and aperture cards to digital images. We also create archive microfilm from digital images. Additionally, our data-entry specialists can be utilized for large data capture and database creation projects. And we can OCR any digital image to make it “word searchable”!
